Privacy Policy

WeBuyGolfBalls.com ("we," "our," or "us") buys used golf balls from individuals, golf courses and collectors. This Privacy Policy explains what information we collect when you use our website or sell golf balls to us, how we use it, who we share it with, and the choices you have — including how to stop receiving emails and text messages from us.

1. Information We Collect

1.1 Information You Give Us

When you request a seller's packet, contact us, or offer to donate golf balls, you provide information such as:

  • Your name
  • Email address
  • Phone number
  • Mailing address
  • Details about the golf balls you are selling (quantity, condition, age, source)
  • Your marketing preferences — whether you want emails or text messages from us

We need your mailing address to send you a seller's packet and prepaid shipping label, and your email address and phone number so we can tell you what is happening with your sale and your payment.

1.2 Information Collected Automatically

When you visit our website we automatically collect:

  • IP address
  • Browser type and version
  • Operating system
  • Pages visited and time spent on pages
  • Referring website addresses

1.3 Information From Other Sources

To make sure your packet and payment reach you, we check the address you give us against third-party services, including the United States Postal Service for address validation and Google for address lookup. These services return a corrected or standardised version of your address, which we store alongside what you typed.

1.4 QuickBooks Online Data

We use Intuit QuickBooks Online for our own accounting. If you are a business that connects a QuickBooks Online account to our services, we may access company information, customer and vendor data, invoice and payment records, and account balances and transaction history. We access only the QuickBooks data necessary to provide our services. This section does not apply to individuals selling golf balls to us — we do not ask sellers to connect any accounting software.

2. How We Use Your Information

We use the information we collect to:

  • Send you a seller's packet and shipping materials
  • Receive, count and grade the golf balls you send us
  • Calculate and send your payment
  • Keep you informed about your sale — when your packet is mailed, when your balls arrive, and when your payment is sent
  • Respond to your questions and requests
  • Send you marketing messages, if you have asked us to
  • Maintain our own accounting records
  • Detect, prevent and address fraud and technical problems
  • Comply with our legal obligations

3. Email and Text Messages

3.1 Messages About Your Own Sale

When you sell golf balls to us, we send you updates about that sale — confirmation that we received your request, notice that your packet has been mailed, confirmation that your balls arrived, and notice that your payment has been sent. These are service messages about a transaction you started, and you receive them whether or not you have opted in to marketing.

3.2 Marketing Messages

We send marketing emails and, if you have separately agreed, marketing text messages about current ball prices, offers and news. You choose whether to receive these when you submit the sell form, and you may change your mind at any time. Marketing messages are optional and are never a condition of selling golf balls to us.

3.3 Text Message Terms

If you opt in to receive text messages:

  • Message frequency varies.
  • Message and data rates may apply.
  • Reply STOP to any message to stop receiving texts. Reply HELP for help, or contact us using the details in section 11.
  • Carriers are not liable for delayed or undelivered messages.

We do not sell or share your mobile phone number, or the fact that you opted in to text messages, with third parties or affiliates for their own marketing or promotional purposes. We share your phone number only with the service providers who help us deliver our own messages to you, as described in section 5.

3.4 How to Opt Out

  • Marketing email: click the unsubscribe link at the bottom of any marketing email, or contact us.
  • Marketing or service text messages: reply STOP to any text message, or contact us.
  • Everything: contact us and ask us to stop contacting you, and we will.

Opting out of marketing does not stop messages about a sale that is already in progress, unless you ask us to stop those as well.

4. Information Sharing and Disclosure

We share your information in the following circumstances:

  • Service providers: third-party vendors who perform services on our behalf, such as shipping carriers, address validation, email and text message delivery, and payment processing. They may use your information only to perform those services for us.
  • Intuit QuickBooks Online: we share the data necessary to keep our accounting records and issue your payment.
  • Legal requirements: we may disclose information if required by law or in response to valid requests by public authorities.
  • Business transfers: in connection with any merger, sale of company assets or acquisition, your information may be transferred.

We do not sell your personal information to third parties.

5. Third-Party Services We Use

We rely on the following service providers, each of which may process some of your information on our behalf:

  • Klaviyo — email and text message delivery, and managing your marketing preferences. Privacy notice
  • Mailgun — delivery of emails about your sale.
  • Flowroute — delivery of text messages about your sale.
  • Intuit QuickBooks Online — accounting and payments. Privacy policy
  • United States Postal Service, UPS and other carriers — address validation, shipping labels and package delivery.
  • Google — address lookup and reCAPTCHA spam protection.

6. Data Security

We implement appropriate technical and organisational security measures to protect your personal information against unauthorised access, alteration, disclosure or destruction. These measures include:

  • Encryption of data in transit using SSL/TLS
  • Secure storage of sensitive information
  • Regular security assessments and updates
  • Access controls limiting who can view your data

However, no method of transmission over the Internet or electronic storage is 100% secure, and we cannot guarantee absolute security.

7. Data Retention

We retain your personal information for as long as necessary to fulfil the purposes outlined in this Privacy Policy, including keeping records of transactions and payments for as long as tax and accounting rules require. We also keep a record of your marketing choices and when you made them, so that we can honour them. When we no longer need your information, we securely delete or anonymise it.

  • Disconnection: if you connected a QuickBooks Online account, you may disconnect it from our services at any time.

Depending on where you live, you may have additional rights under state privacy law, including the right to know what personal information we collect and how we use it, and the right not to be discriminated against for exercising your rights. 9. Children's Privacy

Our services are not intended for individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have collected personal information from a child, we will take steps to delete it.

We may update this Privacy Policy from time to time. We will post the new Privacy Policy on this page and update the Effective Date at the top. We encourage you to review this page periodically.
